QUALIFICATIONS



  • Bachelor’s Degree preferred.

  • Prior experience with administrative work, accounting or the business community, especially in a non-profit setting

  • Competence with general office equipment: computer (Mac system), copier/printer, multi-line phone system.

  • Proficiency in: 1. Business computer applications including Word, Excel, Power Point, INDesign, File Maker, and email and internet applications; 2. Quick Books, MS Office, and all church spread sheets.

  • Working Knowledge of GAAP (Generally accepted accounting principles).

  • Strong verbal and written communication and editing skills.

  • Ability to prioritize and multitask, possess high organizational skills, and detail oriented.

  • Initiative in independent work and diplomacy in collaboration.

  • Ability to pass a background check and complete the church child safety program.


REPORTS TO



  • Senior Pastor

  • Direct questions/concerns regarding compensation and benefits to Pastoral Staff Relations Committee.

PRIMARY RESPONSIBILITIES 


 


RECEPTION



  • Answer incoming calls, take messages and disseminate to appropriate person.

  • Respond to preschool inquiries and direct prospective families. Provide brief tours if necessary.

  • Greet and Welcome all church members and guests.


ADMINISTRATION



  • Maintain list of community resources and provide referrals to those in need; pass requests for benevolent fund assistance to Elders. Sort and distribute mail, deposit any payments received into the safe by the financial secretary.

  • Maintain and arrange for any maintenance issues for office equipment.

  • Manage Church calendar, process requests for building use and coordinate with necessary parties.

  • Design, produce, and distribute informational flyers and brochures when needed.

  • Create and preserve a welcoming and organized space in church office and Narthex; manage lost and found.

  • Update phone directory and publish annually.

  • Manage and maintain current and relevant bulletin boards. 

  • Update street reader board as needed.

  • Design and prepare Sunday bulletins and inserts, announcement slides, and name tags.

  • Assist families in setting up space for memorial services or other special events. 

  • Keep congregants informed of weekly announcements, upcoming events and prayer requests in weekly scheduled emails.

  • Assist pastoral staff, leadership, andelders, with projects, tasks, mailings, or other communication.

  • Maintain and keep current copies of constitution, by-laws, and church policies.

  • Maintain church database and membership rolls and keep written records of births, baptisms, confirmations, marriages, deaths, or other life changes of our members.

  • Help process worker and volunteer applications and background checks.

  • Supply and obtain employment paperwork for all new employees.

  • Respond to preschool inquiries and direct prospective families. Provide brief tours if necessary.

  • Complete other duties as asked by pastoral staff, leadership, or Elders.


 


 


BOOKKEEPING



  • Receive, review, record and pay all bills.

  • Maintain Credit card records and receipts.

  • Send Expense, Budget, and Dedicated Funds reports to Financial secretary for review.

  • Send all financial reports and expenditure stat sheet to Pastoral Staff and Leadership Team as requested.

  • Manage payroll for Church Staff, ensuring funds are transferred and payroll data is entered for each pay period.

  • Reconcile bank statements. Work with Financial Secretary to resolve any discrepancies.
