Job Title: Church Administrative Secretary
Reports To: Ministry Operations Manager
Position Description: ALCC seeks a courteous, passionate, and energetic Church Secretary to support the Senior Pastors and Office Staff. S/he will be responsible for all administrative duties in the Church. The Church Secretary must exhibit a commitment to being a moral and upstanding representative of the church, fostering faith and community, as an ALCC Member.
Essential Duties and Responsibilities
Support Senior Pastors/Office Staff
Calendaring – Responsible for the Senior Pastors’ calendars and appointments.
Pastors’ Travel itinerary – Confirm itinerary. Ensure purchase of tickets and hotel bookings. Coordinate all logistics for departures and arrivals.
Notify Pastors and Members’ Department Leaders of Members’ Self or Family’s Life Events (Births, Deaths, Weddings, Hospitalizations. Disabilities, etc.).
Provide clerical assistance to church staff as needed.
Church Database Maintenance
Maintain the Church’s Database Management System as a principal priority.
Update Membership Records in Membership software system.
Maintain all standard forms (Membership, Baptism, Weddings, Baby Dedication, etc.).
Track Baptisms and Baby dedications, making necessary updates in the database management system. Mail appropriate forms and certificates, as applicable.
Responsible for entering First-time Worshippers’ information into the database management system. Prepare and mail follow-up letters to First-time Worshippers.
Assign First-Time Worshippers to the Membership Follow-up Team. Enter details of all communications into database, for ease of tracking.
General Duties
Serve as host to visitors. Announce their arrival to the appropriate party.
Monitor incoming/outgoing mail. Ensure accurate postage for outgoing mail.
Order office supplies and maintain orderly state of supply room.
Assist various ministries with administrative functions such as the coordination of volunteers for bulk mailings, or other duties as assigned.
Take phone messages/check voicemail messages to the church office regularly, and respond accordingly.
Retrieve/Download church forms completed by members online.
Check emails; acknowledge and respond in a timely manner.
Perform other Clerical Duties including but not limited to - the set- up of church meetings, interviews, etc. Make photocopies. Fax documents. File documents and all paperwork. Order ministry literatures as needed and on time. Prepare letters. Send meeting/event reminders to members. Prepare and distribute bulk mailings as applicable. (Greeting cards, Flyers, etc.).
Responsible for the writing of checks as directed by the Senior Pastor. Manage record-keeping for outgoing and incoming checks.
Coordinate/Assist with the planning and execution of Special Events.
Perform other tasks and responsibilities as assigned by the Senior Pastors.
Required Knowledge, Skills, and Abilities
Previous work experience in a church-based environment is preferred.
Excellent written and verbal communication skills. Communicate with congregants and visitors; a wide range of personalities, clearly and effectively.
Proficiency in Software Applications (Microsoft Word, Excel, Publisher, and PowerPoint), Adobe, Google Suite (Google Drive, Calendar, etc.), Zoom, and Church Database Administration Systems (Knowledge of LEAD/Pushpay App is a plus).
Ability to work on weekends and weeknights.
Exhibits strong organizational skills, paying close attention to details.
Must demonstrate active listening skills and practice empathy and discretion when dealing with confidential matters.
Ability to multi-task in a deadline-oriented environment, in a volunteer-driven organization.
